We may collect the following categories of information:

Account Information

  • User name, email address, and organizational role
  • Authentication credentials and access permissions

Organizational Data

  • Organization name, structure, and configuration metadata
  • Documents, policies, and content you upload to the platform

System Data

  • Usage analytics and feature interaction data
  • Audit logs and system access records

We do not collect consumer data, personal health information beyond what is uploaded by authorized users, or information unrelated to platform operation.

How We Use Information

We use the information we collect to:

  • Provide, operate, and maintain the TetraCare platform
  • Enable compliance analysis, documentation workflows, and audit preparation features
  • Authenticate users and enforce access controls

AI and Data Use

Our AI data handling practices:

  • Customer content is processed transiently for the sole purpose of generating requested outputs
  • Data is not shared with AI providers beyond scoped, stateless processing with contractual safeguards
  • Personally identifiable information (PII) is never exposed to language models in identifiable form
  • AI subprocessors are contractually prohibited from retaining or training on customer data

Data Storage and Security

We implement comprehensive security measures including:

  • Role-based access control (RBAC) with principle of least privilege
  • Encryption at rest (AES-256) and in transit (TLS 1.3)
  • Logical tenant separation ensuring complete data isolation between organizations
  • Continuous audit logging with tamper-evident records
  • Regular security assessments and vulnerability testing

Data Retention

Data is retained in accordance with contractual terms and applicable regulatory requirements. Customer organizations may request data export or deletion subject to legal retention obligations. Upon account termination, customer data is deleted within 90 days unless otherwise required by law or contract.

Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access a copy of your personal data
  • Correct inaccurate or incomplete information
  • Request deletion of your data (subject to legal retention requirements)
  • Restrict or object to certain processing activities
